Anti-Spam Policy

Last Updated: January 15, 2024

Domain is committed to maintaining a communication environment that is respectful, relevant, and free from unsolicited or deceptive messaging. This Anti-Spam Policy describes the standards we apply to all electronic communications sent through our platform and the obligations of users who communicate via our services.

1. Scope of This Policy

This policy applies to all electronic messages sent through or in connection with Domain's services, including but not limited to email notifications, platform messages, automated communications, and any outreach facilitated by our infrastructure. It applies to Domain as a sender and to all registered users, clients, and partners who use our platform to communicate with others.

2. Definition of Spam

For the purposes of this policy, spam refers to any unsolicited, bulk, or deceptive electronic communication. This includes, but is not limited to:

Unsolicited bulk messaging — sending identical or substantially similar messages to multiple recipients who have not explicitly requested them.
Deceptive subject lines or sender information — using misleading headers, false identities, or disguised routing information.
Harvested address targeting — sending messages to addresses collected through automated scraping, purchased lists, or any method not based on direct consent.
Disguised commercial intent — concealing the promotional or commercial nature of a message from the recipient.

3. Our Sending Practices

3.1 Consent-Based Communication

Domain sends electronic communications only to individuals who have provided explicit, informed consent. Consent is obtained at the point of registration, subscription, or through a clearly visible opt-in mechanism. We do not send promotional or marketing messages to individuals who have not affirmatively agreed to receive them.

3.2 Accurate Identification

All messages sent by Domain accurately identify the sender. We do not use deceptive subject lines, forged headers, or misleading routing information. Every communication includes a clear indication of its origin and purpose.

3.3 Unsubscribe Mechanism

Every marketing or non-transactional communication we send includes a clear, functional, and easy-to-use opt-out mechanism. Unsubscribe requests are processed promptly. Once a recipient opts out of a specific category of communication, we honour that request without requiring additional steps or justification.

3.4 Transactional and Service Messages

Certain communications are necessary for the delivery of our services, including account confirmations, security alerts, and service updates. These transactional messages may be sent without prior marketing consent, as they are directly related to the recipient's use of our platform. They are not subject to the opt-out requirement for marketing communications, though recipients retain the right to manage notification preferences where technically feasible.

4. User Obligations

Users of the Domain platform who send or facilitate communications through our services must comply with this policy and all applicable anti-spam regulations. Specifically, users must not:

Use the platform to send unsolicited bulk communications.
Import or use contact lists that were acquired without verifiable consent from the individuals on those lists.
Send messages with false or misleading sender information, subject lines, or content.
Bypass or circumvent opt-out or unsubscribe mechanisms built into the platform.
Use automated tools to harvest email addresses or other contact information from the platform.
Facilitate or enable third parties to engage in any of the above conduct through access granted via the user's account.

5. Complaint Handling

5.1 Reporting Spam

If you have received a communication that you believe violates this policy, you may report it by contacting us at [email protected]. Please include the original message, the sender details as they appeared, and a description of the concern. We review all complaints and take appropriate action where a violation is confirmed.

5.2 Internal Review Process

Upon receiving a complaint, Domain will assess the reported communication against this policy and any applicable standards. Where a user of our platform is found to have sent prohibited communications, we may take remedial action including issuing a warning, restricting or suspending platform access, or permanently terminating the account.

6. Consequences of Violation

Any user who breaches this policy may have their access to Domain's services restricted or terminated without prior notice, at Domain's sole discretion. Domain reserves the right to take further action as appropriate, including preserving records for legal or regulatory purposes. Domain will not be held liable for communications sent by users in violation of this policy.

7. Third-Party Services and Integrations

Where Domain integrates with or relies upon third-party email delivery providers, infrastructure services, or communication tools, those providers operate under their own terms and anti-spam policies. Domain selects partners who maintain standards consistent with responsible messaging practices. However, Domain does not assume responsibility for the independent conduct of third-party service providers outside the scope of our platform's direct operations.

8. Data Used in Communications

Contact information used for communications is collected, stored, and processed in accordance with our Privacy Policy. We do not sell, rent, or otherwise transfer contact information to unaffiliated third parties for the purpose of enabling unsolicited communication. Contact data is used only for the purposes for which it was originally provided.

9. Policy Updates

Domain may update this Anti-Spam Policy from time to time to reflect changes in our practices, platform capabilities, or applicable standards. When material changes are made, we will update the date at the top of this document. Continued use of our services after such updates constitutes acceptance of the revised policy. We encourage users to review this policy periodically.
